Steps

  1. Go to **Maintain ▸ Diligence Phrases** and add phrases you use often.

  2. Check **Comment** to keep a note internal (never shown on web or diligence reports).

  3. If used for court, enable **Applies to Court Orders and Status**. For the phone app, check **This Phrase Applies to Server Check In Website** and set the **Droid Title**.

  4. In **Template**, design an email (HTML/merge fields supported) and set **Email defaults** (who receives).

  5. Enable **Set New Milestone** and choose the milestone to auto‑update; optionally set **Default Status Due Days** and a **Default subject line**.

Confirm it worked

Entering the phrase adds status, triggers milestone changes, and prepares the email exactly as configured.

Troubleshooting

If customers see internal notes, ensure **Comment** is checked on those phrases. If templates fail, click **Verify** in the template editor.
